The event-management reality — what it takes to run these events
Putting on an event is a juggling act. Entries and payments, categories and waves, timing and results, comms to participants, sponsors and volunteers, and then doing it all again next year. Most organisers stitch it together from separate tools and vendors that don’t talk to each other, so data gets re-keyed, admin multiplies, and race week becomes firefighting instead of delivery. When registration, timing and marketing share one system, the whole job gets simpler: one dataset, one team accountable, and time back to spend on the event itself.

Frequently Asked Questions
What does Barefoot event management include?
Registration, timing and marketing in one system, so you run and grow your whole event from one place with one accountable team.
Do I have to use all three?
No. Use registration, timing or marketing on their own, or connect them so your data flows through with nothing re-keyed.
Can it handle a whole calendar?
Yes. Barefoot runs single events and whole series, with connected data across the lot.
How much does race registration and timing software cost?
Most race registration platforms charge per entry rather than a monthly subscription. You’ll usually see a fixed fee per entry plus a percentage of the entry price, so the cost scales with your field size rather than sitting on your books year-round. Timing is normally quoted separately, based on participant numbers, how many timing points you need and travel to the site. Ask for a quote against your real entry fee and expected numbers.
Can I pass registration fees on to participants in Australia?
Yes, but Australian Consumer Law decides how you display it. Section 48 requires the single total price, including entry fee, booking fee and GST, to be shown as prominently as any component. You can’t reveal a mandatory booking fee late in the checkout. The ACCC calls that drip pricing and has issued infringement notices over it. Build the fee into your advertised price, or show the all-inclusive total from the first screen.
When do I actually get paid the entry money?
It depends entirely on the platform, and the difference matters for cash flow. Many event and ticketing platforms hold entry money until after the event, and some withhold a reserve against refunds and chargebacks on top. Others pay out on a rolling schedule as entries come in, so you can cover deposits and supplier costs before race day. Ask any provider two things: when funds are released, and whether a reserve is held.
Should registration and timing come from the same provider?
Usually yes, because it removes a data handover. When registration and timing sit in one system, entries flow straight into the timing software with no exporting or re-keying, which is a common source of race-day results errors. It also means one team is accountable when something goes wrong. Separate providers can still work well if your timer knows your registration platform and you’ve tested the file transfer before race week.
Do I need chip timing for a small fun run?
Not always. For a community fun run where nobody is chasing a qualifying time, manual timing with a finish chute and volunteers is genuinely adequate, and cheaper. Chip timing earns its cost once you have wave or staggered starts, multiple distances, split points, or participants who want an accurate personal time. Trail and multi-checkpoint events are the clearest case, because manual timing across a spread-out course is impractical.
